Our high-performing fintech startup client is seeking a proactive and highly organized Executive
Assistant to the CEO with a proven track record supporting C-level leadership in fast-paced startup or tech environments. This role requires excellent multitasking, communication, and problem-solving skills, with the ability to anticipate needs and manage day-to-day priorities with discretion and efficiency. You’ll serve as a strategic partner to the CEO, managing calendars, communications, meetings, and special projects, while acting as a key liaison to internal and external stakeholders.
 
This role requires strong organizational skills, the ability to handle multiple priorities, and experience working with U.S. clients.

What You’ll Do
  • Provide sophisticated calendar management for CEO - participating in all calls, meetings and travel as needed, and ensuring CEO is frequently updated and reminded of his commitments
  • Monitor and manage CEO's email inbox, including screening and prioritizing messages, drafting responses on behalf of the CEO, and ensuring timely and effective communication with internal and external stakeholders.
  • Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
  • Act as a liaison and provide support to Advisory Board and executive leadership
  • Arrange and handle all logistics for executive meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including:
    • assisting with special projects
    • designing and producing complex documents
    • reports, and presentations
    • collecting and preparing information for meetings with staff and outside parties
    • composing and preparing correspondence
    • maintaining contact lists
    • making travel arrangements when necessary
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature.
  • Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated
  • Anticipate the CEO's needs in advance of meetings, conferences, etc.
  • Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team
 
What You’ll Need
  • Bachelor’s degree in Business Administration, Finance, HR, or a related field preferred.
  • 2-3 years years of experience with C-Suite executives (preferred)
  • Start-up / tech experience required
  • Attention to detail, excellent communication and problem-solving skills
  • Bias for action and a “can-do” attitude
  • Willingness to be available outside of traditional business hours as needed
  • Proficient with Google Office Suite
