Pro Services is expanding and is looking for an Office Manager/Executive Admin to join our team! The ideal candidate will be accomplished in managing the schedule, travel and communication for a hands on executive team. The will be adept at working with the Microsoft and the Google suite. They will have experience managing confidential information. Experience coordinating company events, internal and external communication, as well as in- depth visual presentations. This role will manage the needs of the office team and support the HR and Finance departments as needed. The role will provide reception support and act as the "go to" person for all office knowledge.

Position Summary
The Office Manager – Assistant to Executive Leadership provides high-level administrative support to the company President and executive leadership team while ensuring the smooth operation of the office. This role serves as a key point of contact for internal teams and external stakeholders, manages office operations, and supports strategic initiatives by assisting with scheduling, communication, and project coordination.
Key Responsibilities
- Provide direct administrative support to executive leadership, including scheduling meetings,
managing calendars, and coordinating travel.
- Prepare reports, presentations, and correspondence on behalf of the executive team.
- Screen and prioritize communications, ensuring timely responses to internal and external
stakeholders.
- Oversee daily office operations, including managing office supplies, equipment, and facilities.
Coordinate vendor relationships and office service contracts.
- Implement and maintain office policies and procedures to ensure efficiency and compliance.
- Serve as the primary point of contact for internal office needs and external inquiries.
- Assist with planning and execution of strategic projects initiated by the executive team.
- Track project timelines, deliverables, and follow-ups to ensure successful completion.
- Support cross-functional collaboration by facilitating information flow and coordinating
- Manage confidential information with discretion and professionalism.
- Maintain organized files, records, and documentation for executive leadership and office
operations.
- Support Human Resources and Finance related administrative departmental tasks when needed.
Qualifications
Bachelor’s degree in Business Administration, Management, or related field is preferred.
Minimum of 5 years of administrative or office management experience, ideally supporting
executive leadership is required.
Exceptional organizational and multitasking skills.
Strong written and verbal communication skills.
Demonstrated ability to coordinate and manage corporate events
Adept in Microsoft Office and Google Suite
