Position Summary

This estimated 6-month temporary Accounting/Financial Support position is a key role responsible for ensuring financial integrity and operational efficiency within the organization. This position provides comprehensive accounting support to the CEO, including budgeting, financial reporting, and payroll administration. In addition, the role manages contract oversight—reviewing and approving projects to ensure compliance with contractual and federal grant requirements—and offers third-party contract support. With a focus on maintaining strong internal controls and adherence to non-profit accounting policies, the ideal candidate will bring a detail-oriented approach, advanced technical skills, and a commitment to supporting the organization’s mission and growth.

Essential Duties and Responsibilities

  • Provide accounting and financial support to the CEO and other key staff to ensure smooth administration of operations.

  • Manage contracts by reviewing and approving all projects to ensure compliance with requirements at both the pre-project and invoicing stages.

  • Provide third-party contract support for customers, including drafting contracts, scopes of work, and payment terms.

  • Maintain accounting controls by utilizing charts of accounts and existing non-profit accounting policies and procedures, including quarterly and annual close-outs.

  • Ensure financial security by establishing internal controls and maintaining confidentiality of information.

  • Handle accounts receivable and payable, including invoicing customers and ensuring timely vendor payments. Accurately recognize revenue and expenses in accordance with federal grant and non-profit accounting standards.

  • Reconcile bank accounts, benefit accounts, and credit cards. Prepare all deposits.

  • Maintain the general ledger, including coding income and expense transactions, preparing monthly journal entries, and supporting schedules.

  • Produce timely and accurate financial statements.

  • Assist in the development of organization-wide and program-specific budgets as needed.

  • Ensure timely payment of all payroll taxes and prepare related reports.

  • Assist the CEO with administrative HR functions, such as benefits and insurance administration, personnel file management, new hire and termination processes, and maintenance of policies and procedures.

  • Administer payroll and process timesheets, allocating expenses to appropriate grants and funding sources and preparing the necessary journal entries.

  • Prepare financial documentation for state and federal grants, including proposal budgets, reimbursement requests, and financial reports.

  • Coordinate and support year-end audit and preparation of 990s with the external CPA. Prepare audit schedules, financial statement drafts, trial balance, and incorporate recommended changes.

  • Support organizational goals by completing additional accounting and administrative tasks as needed.
