Join a National Law Firm as a Legal Assistant supporting the Real Estate Department. This critical role involves managing information, assisting in legal services, and handling administrative and junior-level paralegal tasks for a dynamic team of 2 Partners, an Of Counsel, and 2 Associates. The ideal candidate will have senior-level experience (7+ years) in commercial real estate, a proactive attitude, and the ability to thrive in a fast-paced, high-volume environment.
What You’ll Do:
Provide comprehensive legal administrative support to Real Estate attorneys and paralegals.
Manage attorneys’ contacts, schedules, and calendars.
Coordinate meetings, videoconferences, and conference calls.
Handle marketing, travel arrangements, and non-legal matters for attorneys.
Process expense reports and check requests for vendor costs and trust disbursements.
Take client calls, conduct initial screening for potential clients, and manage client intake, including opening files and preparing engagement documents.
Maintain both physical and electronic filing systems.
Update and track cases using Excel sheets and firm databases (MS Teams, iManage, etc.).
Track due dates and deadlines, record billable and non-billable time, and assist with attorney time entry.
Prepare, revise, and format legal documents.
Assist with due diligence tasks as requested.
Prepare physical and electronic closing binders via iManage.
Provide support for meetings, including document preparation.
Coordinate department projects and functions.
Deliver exceptional customer service to clients via phone and email.
Maintain strict confidentiality of client information.
What You’ll Bring:
Experience: Minimum of 7 years in a senior-level legal assistant role, with extensive commercial real estate experience preferred.
Skills:
Proficiency in MS Office Suite (Word, Excel, Teams) and iManage.
Strong organizational and time-management abilities.
Exceptional attention to detail and ability to meet deadlines in a fast-paced environment.
Attributes: Proactive, team player with excellent communication and interpersonal skills.
Education: Paralegal certificate or relevant experience with junior-level paralegal tasks preferred.
