Executive Assistant to Chief Operating Officer, Resort and Casino Company, Oneida County

An elite resort and casino company headquartered in Oneida County, New York is seeking a dedicated and experienced Executive Assistant to support its Chief Operating Officer (COO). This role offers a unique opportunity to work closely with an accomplished hospitality executive and contribute to the behind-the-scenes success of a world-class operation known for service excellence. This is a 5 day a week role in the executive office located in Oneida County.

About the Role:

As Executive Assistant to the COO, you will serve as the COO’s right hand—managing an intricate blend of business and administrative responsibilities. You’ll be expected to anticipate needs, provide high-level organizational support, and act with impeccable discretion and judgment. The right candidate will thrive in a guest-focused environment and be comfortable navigating a dynamic and ever-evolving schedule.

Responsibilities:

  • Manage a complex, ever-changing calendar and prioritize high-level meetings
  • Coordinate domestic and international travel arrangements with detailed itineraries
  • Prioritize emails and craft emails on his behalf
  • Edit correspondence, memos, presentations, and executive summaries on behalf of the COO
  • Liaise with department heads, executive leadership on behalf of the COO
  • Maintain and organize confidential files, documents, and reports
  • Serve as the COO’s point of contact and representative with both internal teams and external stakeholders
  • Manage expense reports,
  • Plan and oversee special events, meetings, and offsite meetings as needed
  • Remain available for occasional after-hours or weekend communications in case of urgent needs and to prepare for report meetings on Monday

About You:

  • Minimum 5+ years of experience supporting a C-suite executive, preferably in hospitality, luxury service or entertainment,
  • Bachelor’s Degree
  • Impeccable attention to detail and a proactive, anticipatory mindset
  • Outstanding verbal and written communication skills
  • Highly discreet, professional, and trustworthy with sensitive company information
  • Tech-savvy with strong proficiency in Microsoft Office Suite; Slack.  They are an Apple shop
  • A positive “can do “ personality that is confident working in a high-touch, client-centered culture
