A dynamic millennial business owner is seeking a proactive and highly organized Executive & Personal Assistant to support succession planning for two family businesses and oversee administrative functions across multiple income-generating ventures, including real estate. The role is hybrid, with the ideal candidate based in Tucson, AZ (or within range for occasional commute). The role requires strong project management skills, a service-oriented mindset, and the ability to handle sensitive and confidential information with discretion. This is a unique opportunity to work closely with an entrepreneur on a diverse set of ventures while gaining insight into family business succession, real estate, and strategic wealth management. Ad-hoc travel required.

About the Job:

·         Provide comprehensive executive support, including scheduling meetings and calls, drafting emails, coordinating with financial, legal, and tax professionals, and organizing key documents such as “The Book.”

·         Ensure follow-through on key tasks and deadlines such as tax submissions and business compliance requirements; translate verbal ideas into actionable tasks and to-do lists.

·         Manage rental property operations, including property tax payments, tenant communications, contract generation, insurance tracking, and rental agreement execution through DocuSign.

·         Organize and simplify rental and tax-related data (e.g., monthly income, charitable donations, annual totals) for ease of access and use in personal tax returns and planning.

·         Support succession planning and operations for complex family business structures, including organizational chart navigation, and financial statement production.

·         Provide household management and lifestyle support, including booking travel, overseeing home maintenance, managing vendors (chefs, cleaners, landscapers), and assisting with pets.

·         Proactively address personal and professional needs—from coordinating guest visits to handling details like scheduling appointments.

About You:

·         Highly organized with a sharp attention to detail and strong project management skills.

·         Discreet and emotionally mature—comfortable working with ultra-high-net-worth individuals (UHNWI) and maintaining strict confidentiality.

·         Excellent communicator—clear, respectful, and responsive, with a friendly demeanor and sense of humor.

·         Service-oriented and solutions-driven—committed to supporting the business owner in all aspects of life and work.

·         Growth-minded—open to feedback and focused on continuous improvement.

·         Financially and legally literate—capable of understanding tax and business documentation and terminology.

Minimum of five years in a related role.

·         Tucson-based preferred; nearby time zones (e.g., Pacific, Mountain) or easily commutable is also welcome.

Competitive salary based on experience. Flexible schedule with core hours; occasional after-hours/weekend support may be needed.
