A CEO of multiple businesses is looking for an Executive Assistant. The role is primarily remote and requires the assistant to meet in person one day a week in Valencia (a 30-minute reverse commute from LA). The major business entity has 200 employees and operates in 6 states.
About the Job:
¨ Act as a key partner to the CEO, helping him stay on top of things professionally and personally.
¨ Manage the CEO’s time by being a filter on meetings, calls, and any incoming requests for his time
¨ Get to know the businesses, the players, and what is important
¨ Vet the CEO’s 3 inboxes and prioritize draft responses
¨ Handle sensitive information with confidentiality
¨ Screen incoming phone calls, delivering detailed, timely messages to the appropriate parties
¨ Proactively manage daily calendar, identifying and mitigating potential conflicts
¨ Schedule and prepare for meetings by organizing agendas, taking notes, and following up on action items - follow up with staff, and ensure priorities stay visible and actionable
¨ Assist the CEO with implementing directives
¨ Plan internal and external events
¨ Schedule internal and external meetings
¨ Coordinate travel arrangements, including flights, cars, and research and book hotels
¨ Process expense reports
¨ Coordinate personal travel, reservations, family scheduling, and general life logistics as needed
¨ Ad hoc projects as needed
¨ Limited off-hour availability via text
About You:
¨ Minimum of 5 years of experience in a related support position
¨ BA/BS from a college or university
¨ Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
¨ Polished, professional demeanor
¨ Able to think ahead, bring order to chaos, and help the CEO at his best
¨ Outstanding communication skills
