Our client, a prominent Dallas law firm known for its collaborative culture and high standards of client service, is seeking a highly organized and service-oriented Catering Coordinator to support the firm’s hospitality and event needs. This individual will play a key role in ensuring seamless coordination of food and beverage services for internal meetings, client events, and firm-sponsored functions.

Position Summary:

The Catering Coordinator is responsible for planning and executing all aspects of catering services for meetings, receptions, and special events. This position works closely with attorneys, firm leadership, administrative professionals, and external vendors to provide exceptional service and uphold the firm’s professional image. The role also includes relief coverage for the front desk receptionist as needed.

Key Responsibilities:

Coordinate all catering for internal and external meetings, including breakfasts, lunches, receptions, and special firm events.

Collaborate with attorneys, executives, and administrative staff to understand event objectives, dietary needs, and service preferences.

Source, negotiate with, and manage relationships with preferred caterers and food service vendors.

Place, track, and confirm catering orders to ensure accurate and timely delivery, proper setup, and professional presentation.

Ensure all catering adheres to dietary restrictions, quality standards, and the firm’s hospitality expectations.

Maintain and update the firm’s catering calendar, proactively managing scheduling conflicts and lead times.

Track expenses and assist with budget adherence and invoice processing in accordance with firm policies.

Provide relief receptionist coverage, including greeting guests, answering phones, and assisting with front desk operations when needed.

Qualifications:

2+ years of experience in hospitality, catering coordination, office services, or administrative support, preferably in a professional services environment.

Strong organizational and time management skills with the ability to manage multiple events and priorities.

Excellent interpersonal and communication skills, with a focus on professionalism and client service.

Proficiency in Microsoft Office (Outlook, Word, Excel); experience with scheduling or event software is a plus.

Ability to work onsite, including occasional early mornings or evenings as events require.
