Our client, a prestigious law firm, is seeking a skilled Legal Assistant to support a dynamic team of attorneys within the Litigation practice group at their Tampa office. This role involves performing complex administrative, secretarial, and substantive legal duties to enhance the efficiency and effectiveness of the legal team.

Key Responsibilities

  • Utilize advanced technology tools to maximize efficiency and streamline attorney workflows.
  • Strategize and implement the most effective approaches to complete tasks.
  • Draft, format, edit, and manage legal documents using various office software applications.
  • Prepare and coordinate e-filings, along with state and federal court filings as needed.
  • Manage incoming and outgoing correspondence, including mail, faxes, and document scanning.
  • Organize and maintain electronic and physical files, ensuring accuracy and accessibility.
  • Oversee attorneys' calendars, including scheduling appointments, meetings, and travel arrangements.
  • Maintain and update contact databases for attorneys as required.
  • Support file management, including opening, closing, and conducting conflicts checks.
  • Assist attorneys with timesheets and billing tasks, ensuring accuracy and timeliness.
  • Process reimbursements and client expenses through appropriate systems.
  • Build and maintain positive client relationships with discretion and professionalism.
  • Demonstrate reliability with regular, predictable attendance and responsiveness.

Qualifications

Education and Experience:

  • High school diploma or GED required; associate degree or legal assistant certification preferred.
  • Three or more years of litigation secretarial experience in a law firm is highly desirable.

Skills and Competencies:

  • Experience with construction and commercial litigation is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PDF tools.
  • Strong understanding of legal processes, terminology, documents, and court procedures.
  • Familiarity with e-filing systems and legal practice support tools.
  • Exceptional organizational and multitasking skills, with keen attention to detail.
  • Effective written and verbal communication abilities in a professional setting.
  • Proficiency in standard office equipment (PCs, multifunction printers, telecommunication devices).
  • Flexible and solution-oriented mindset to handle high-pressure environments.
