A CEO/President who leads multiple companies across energy, development, and hospitality sectors is looking for an Executive Assistant. Looking for an EA who in addition to administrative tasks will assist with financial and legal documentation, and offer strategic insights on business operations as the business ramps up for growth. This role requires discretion, strong organizational skills, and the ability to interact professionally with executives, investors, and community leaders. The position is in the office with some travel required (up to a few nights a month). This is an excellent opportunity to work closely with senior leadership and contribute to the success of multiple organizations. About the Job:
¨ Vet and prioritize the CEO’s emails and draft responses
¨ Prepare and review financial reports, legal documents, and other key materials
¨ Maintain confidentiality and exercise sound judgment with sensitive information
¨ Facilitate communication between the executive and various stakeholders, including CEOs and investors
¨ Conduct research, compile data, and prepare presentations and reports
¨ Support smooth office operations and assist administrative staff as needed
¨ Analyze business issues and clearly communicate findings to relevant teams
¨ Build and maintain strong working relationships across multiple business units
¨ Travel domestically with the CEO. Right now a few night a year but may be more in the future – a few days a month.
¨ Some personal executive assistance will be required
¨ Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
¨ Proactively manage daily calendar, identifying and mitigation potential conflicts and compose correspondence
¨ Coordinate complex travel arrangements including flights, cars, hotels, and other reservations and manage private aviation to identify and mitigate potential travel disruptions whenever possible
¨ Process expense reports
¨ Assist with personal scheduling, such as coordinating appointments or family-related engagements.
¨ Ad hoc projects as needed
¨ Some off-hour availability (some nights and weekends for important calls or meetings)
About You:
¨ Minimum of 5+ years of experience supporting a CEO or CFO
¨ BA/BS from a college or university a plus
¨ Proficient in Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Basic QuickBooks a plus-will train
¨ Experience analyzing financial statements and offering suggestions to leadership
¨ Strategic thinker with the ability to advise on high-level business matters
¨ Ability to work at a high level with Executive leadership
¨ Polished, professional demeanor
¨ Proactive go-getter; no task is too big or too small
¨ Outstanding communication skills
