Our client, a growing Houston area law firm, has a great opportunity available for an experienced Human Resources Assistant to report to the Law Firm Administrator. 

Job Summary:

We are seeking a highly organized and discreet Human Resources Assistant to join our team at a busy law firm. The ideal candidate will support the HR department in a variety of administrative tasks and play an important role in maintaining a professional and compliant workplace. This position requires strong attention to detail, discretion, and a solid understanding of the unique staffing and compliance needs within the legal industry.

Key Responsibilities:

  • Assist with daily HR operations, ensuring compliance with firm policies, legal regulations, and ethical standards of the legal profession.
  • Maintain confidential personnel files for attorneys, paralegals, and administrative staff, ensuring accuracy and compliance with regulatory requirements.
  • Support recruitment and onboarding processes for legal and non-legal staff, including posting job ads, coordinating interviews, and preparing offer letters.
  • Help onboard new attorneys and staff, ensuring completion of background checks, conflict checks, bar verification, and orientation documentation.
  • Track continuing legal education (CLE) compliance, bar license renewals, and professional certifications for attorneys.
  • Coordinate performance review processes and assist with gathering evaluation materials.
  • Provide administrative support for HR initiatives, including training programs, diversity and inclusion efforts, and employee engagement activities.
  • Assist with benefits administration and respond to staff inquiries regarding policies, leave, and insurance.
  • Maintain up-to-date HR records and prepare reports for firm management as needed.
  • Assist with maintaining compliance with employment law, including EEO, ADA, and FMLA regulations.
  • Help plan firm events, wellness programs, and employee appreciation initiatives.

Qualifications:

  • 3+ year of experience in an HR or legal administrative role; law firm experience highly desirable.
  • Familiarity with legal industry norms, confidentiality protocols, and law firm culture.
  • Strong organizational skills and attention to detail.
  • High level of professionalism and discretion in handling sensitive information.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS and legal software systems (e.g., iManage, Workday) is a plus.

Work Environment:

  • Professional law office setting.
  • Standard office hours with occasional extended hours during recruiting cycles or major HR initiatives.
  • Position may require occasional lifting of files, event setup, or movement between office locations.
