Our client, a growing and reputable Houston area law firm, has a new opportunity for an organized and experienced Real Estate Legal Assistant/Legal Secretary to join their firm on a direct hire/permanent basis. This opportunity involves providing comprehensive support to a team of attorneys and assisting with various legal tasks to ensure the efficient operation of the firm. This position supports 3 or more attorneys.
Responsibilities include, but are not limited to, the following: 
  • Assist with drafting, managing, and organizing various documents related to real estate transactions, including escrow instructions, title and survey review, entity formations, Uniform Commercial Code and Secretary of State searches, local transfer requirements, and due diligence.
  • Draft correspondence and prepare legal documents.
  • Handle all aspects related to commercial real estate, transactional and corporate law, including contract summaries, calendaring.
  • Prepare closing binders, and correspondence with the title companies, corporate filings in multiple states.
  • Obtain employer identification numbers.
  • Prepare, review, and organize legal documents such as contracts, leases, closing documents, and title commitments.
  • Handle phone calls, emails, scheduling appointments, managing calendars, and performing general office tasks.
  • Conduct legal research, investigating property records, and assist with due diligence related to real estate transactions.
  • Assist with the closing process, including coordinating with title companies, lenders, and other parties.
  • Maintain organized files (electronic), ensuring all documents are readily accessible.
  • Prepare expense reimbursements to the accounting team.
  • Prepare and submit new matter request forms and conflicts checks to the accounting team.
  • Serve as a back-up legal assistant for coverage purposes.

Requirements: 

  • A minimum of 3 or more years of experience working with corporate and real estate attorneys is a requirement.
  • Excellent organizational and communication skills are essential to effectively manage legal tasks and interactions.
  • Meticulous attention to detail to ensure the accuracy and quality of legal documents and correspondence.
  • Ability to thrive in a fast-paced environment, handling multiple tasks efficiently and meeting deadlines effectively.
  • A professional demeanor and strong work ethic, demonstrating commitment to delivering exceptional support.
  • E-filing experience is necessary to successfully navigate court procedures and requirements.
  • Prior litigation experience is a must, allowing for seamless integration into the firm's practices.
  • Familiarity with PowerPoint and Excel is a plus, contributing to the efficiency of various legal tasks.
  • A background in construction litigation is a plus, providing valuable expertise to the firm's practice areas.
