Estimator – Architectural Millwork & Casework

Estimators / Project Managers are responsible for evaluating bid specifications and drawings, and ensuring that all information is available and researched in order to successfully bid and win projects.

Responsibilities

Bid Administration

  • Conduct initial evaluation of projects to determine best fit.

  • Prepare work to be accomplished by gathering information and requirements, and setting priorities.

  • Prepare bid submission budget by studying plans, understanding all specifications, identifying and projecting costs for each element of bid.

  • Prepare and maintain status of plan reproduction.

  • Prepare bid packages.

  • Handle all client interactions in a manner designed to build long-term relationships.

  • Solicit and maintain communication with clients and vendors.

  • Transmit addenda and other bid information to client.

  • Demonstrate creativity and resourcefulness to gain better pricing from vendors.

  • Submit bids and budgets by the bid deadline.

  • Enter all relevant information into project management software.

  • Resolve cost discrepancies by collecting and analyzing information.

Project Knowledge

  • Review bid requirements thoroughly, ask follow-up questions as needed, and document responses.

  • Maintain thorough understanding of scope for specific material and labor requirements.

  • Perform a comprehensive final analysis and scoping of project prior to bid submission.

  • Double-check all critical work deliverables to minimize mistakes.

  • Create bid lists that fit scope of job.

  • Include value-engineering ideas wherever possible.

  • Identify creative ways to deliver additional profit when possible.

  • Maintain cost keys and price masters by updating information.

  • Stay current on professional and technical knowledge by attending workshops, reviewing publications, and networking.

Project Turnover

  • Properly turn over bid documents and other documentation to Project Management in a timely manner.

  • Build strong collaborative relationships with other departments, including project management, production, estimating, accounting, and company management.

  • Review drawings with Project Management team and highlight areas of concern.

  • Review job cost with Project Management team.

Follow-Up and Closing

  • Maintain relationships with architects, general contractors, and potential clients to close business.

  • Consistently follow up on submitted bids and budgets with clients to close business.

  • Communicate with other departments as needed to close business.

Education and Experience

  • High school diploma or equivalent required.

  • Secondary education degree or equivalent combination of education and experience preferred.

  • Experience soliciting vendor quotes in an architectural or construction environment with strong knowledge of the woodworking industry.

  • Experience using estimating software.

  • Ability to assess bid opportunities, manage bid schedules, attend site/scope review meetings, and maintain productive client communications.

  • Experience with change orders; scheduling experience using project management software a plus.
