A well-established, multi-generational family office is looking for a Personal Assistant to comprehensive services to family members, which will be anywhere from 4-6 people. The official title of the role is Senior Client Representative. The role is hybrid: 3 days in office, 2 days remote (there may be flexibility to be in office 2 days). The Finance Manager will train the assistant on handling finances.

 

About the Job:

¨     Supervise financial and operational aspects of family properties, yachts, and aircraft

¨     Manage purchase and sale transactions, as well as construction and renovation projects

¨     Manage personal staff, coordinating household logistics, courier services

¨     Event planning and personalized projects

¨     Oversee travel arrangements in collaboration with travel service teams to ensure seamless experiences

¨     Facilitate personal and family foundation charitable giving, ensuring compliance and proper documentation

¨     Oversee insurance policies. Manage claims, coordinate with providers, and ensure proper asset registration and coverage

¨     Serve as the primary liaison for clients, external advisors, service providers, and household staff, fostering strong, long-term relationships

¨     Lead and mentor junior team members, promoting accuracy, compliance, and a collaborative office culture

¨     Assist with budgeting, cash flow forecasting. Review and approve personal bills, invoices, and bank transfers to ensure timely execution.

 

 

About You:

¨     Minimum of 8 years of experience in a related support position

¨     Previous experience supporting a HNW individual or executive

¨     BA/BS from a college or university a plus

¨     Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

¨     Tech savvy

¨     Dynamic and proactive comfortable in a fast-paced environment.

¨     Outstanding communication skills
