Provide oversight, coordination and governance to ensure the Managed Services engagements stay on track and deliver value.

 

 

Engagement Scope

·        Approx. 20 hours per month 

·        Flexibility to scale hours temporarily if project demands increase.

 

 

Key Responsibilities

 

Meeting Coordination

  • Schedule and lead kick-off and monthly status meetings.
  • Prepare agendas and capture/distribute meeting minutes and action items.

Project Tracking

  • Generate Netsuite reports to track project status.
  • Monitor deliverables, milestones, issues/risks, and next steps.
  • Escalate concerns promptly using a defined escalation protocol.
  • Optional: Maintain a separate project tracker/dashboard using tools such as Excel, Smartsheet, or Jira (not provided by Melillo).

 

Stakeholder Communication

  • Liaise with internal teams (field engineers, service providers, help desk) and client stakeholders when needed.
  • Ensure alignment and timely communication across all parties.

 

Service Delivery Oversight

  • Ensure timely execution of service outcomes (e.g., configuration, deployment, onboarding, support) as outlined in the scope.

 

Effort & Budget Monitoring

  • Quality-check tracking of hours, budget, and scope.
  • Flag when additional effort is required beyond the 10-hour/month baseline.

 

Reporting & Continuous Improvement

 

 

Deliverables

 

  • Monthly status report and updated project tracker
  • Meeting minutes and action-item lists for all coordination calls
  • Escalation log for any issues impacting timeline, scope or budget
