Position Overview:

The Inside Order Admin will be responsible for supporting the outside sales team by preparing accurate quotes and processing orders for customers. Success in this role depends on a deep understanding of Western’s products and customer workflows. The ideal candidate has experience in construction or building and understands how components fit together, providing an added layer of value when engaging with customers. This position is key to building customer trust and maintaining relationships that align with Western’s commitment to simplicity, excellence, and impactful solutions.

Key Responsibilities:

1. Order Processing & Customer Service:
  • Support the outside sales team by responding promptly to customer inquiries, preparing quotes, and processing orders that align with customer specifications and company standards.
  • Accurately enter orders into the system, ensuring details reflect customer expectations, and proactively follow up to communicate any changes or timelines.
 
2. Product Knowledge & Solutions:
  • Develop an in-depth understanding of Western’s products and how they apply to customer projects, gaining insights into customer workflows and building processes.
  • Recommend solutions and offer informed advice to customers, leveraging construction or field experience to address their needs and suggest improvements.
  • Empower customers by addressing questions and concerns effectively, reflecting Western’s value of Empowering Impactful Solutions.
 

3. Relationship Building & Customer Insight:

  • Build strong, supportive relationships with customers, learning their specific needs and how they approach building projects.
  • Serve as a trusted advisor, drawing on product knowledge and potential field experience to assist customers in creating successful builds.
  • Coordinate with the outside sales team and other departments to ensure timely and effective communication on all orders.
 

4. Team Collaboration & Support:

  • Work closely with outside sales to ensure all customer interactions are handled efficiently, enabling a consistent and high-quality customer experience.
  • Provide valuable insights from customer interactions to improve quotes and order processes and assist in tailoring services to meet customer needs.
 

5. Continuous Improvement:

  • Identify opportunities to improve order-taking and quoting processes, ensuring alignment with Transform Through Simplicity.
  • Gather customer feedback to enhance Western’s offerings and processes, reinforcing Excellence is a Habit in every transaction.
 

Key Qualifications:

  • Previous experience in customer service, order-taking, or sales support; experience in construction or building is a strong plus.
  • Knowledge of building processes or previous hands-on building experience, with an understanding of how components fit together.
  • Strong communication skills, with the ability to provide clear and professional information to customers and colleagues.
  • Attention to detail and accuracy, ensuring all orders are correctly processed and customer expectations are met.
  • Proficiency with order entry systems, strong computer skills, and the ability to learn new software quickly; experience with CRM systems (like Salesforce) is a plus.
