Position Summary
The Accounting Assistant plays a key role in supporting daily accounting and purchasing operations. Primary responsibilities include accounts payable, installer payroll, and purchasing of materials and other duties as assigned. This position works closely with the warehouse, sales team, and management to ensure accurate financial processing, smooth project coordination, and timely material deliveries.
Key Responsibilities
Accounts Payable
• Review and process vendor invoices related to flooring materials, supplies, and services.
• Match invoices with delivery tickets for accuracy.
• Code AP invoices to the correct job or accounting code before submitting for approval.
• Communicate with vendors to resolve billing or payment discrepancies.
• Maintain organized AP records for reference and reporting.
• Other duties as assigned.
Installer Payroll
• Collect installer weekly billing statements.
• Verify installers pay amounts and that jobs are complete.
• Send a list to the field techs on jobs that need to be completed.
• Coordinate with the Operations Manager to confirm completed jobs before completing payroll.
• Maintain accurate payroll records and assist with resolving installer pay inquiries.
• Other duties as assigned.
Purchasing (Stock and Special-Order Materials)
• Review purchase orders for materials needing to be ordered.
• Verify product details, pricing, and lead times with suppliers.
• Track material orders and coordinate with the warehouse for deliveries and receipts.
• Communicate with sales staff to confirm product selections and order accuracy.
• Match purchase orders and vendor invoices for payment processing.
• Other duties as assigned.
Department Coordination
• Collaborate with warehouse staff, salespeople, and management to ensure materials and payroll align with project schedules.
• Provide administrative support for accounting and operations as needed.
• Maintain organized records of purchasing, installer payroll, and accounts payable
activities.
Qualifications
• 2+ years of accounting or bookkeeping experience, preferably in the flooring,
construction, or home improvement industry.
• Strong understanding of accounts payable and basic accounting principles.
• Experience processing payroll, preferably for installers or subcontractors.
• Proficiency in Microsoft Excel, Word and accounting software.
• Excellent attention to detail, organization, and communication skills.
• Ability to manage multiple priorities and work collaboratively across departments.
• Knowledge of RFMS is a plus.
