Executive Assistant on Executive Team to Principal, Family Office, Remote/Eastern Standard Time Only

A UHNW principal is seeking a highly skilled Executive Assistant to provide comprehensive support in a remote role for Eastern Time Zone candidates only. The Executive Assistant will work collaboratively with another EA who has supported the principal for over 10 years, ensuring seamless coordination across personal and professional priorities. This position requires over 5 years of experience supporting a key executive in the finance space, preferably in a small or mid-sized company, has advanced Excel skills (VLOOKUP, Pivot Tables). Prior financial analyst experience is highly desired. The ideal candidate is resourceful, detail-oriented, and eager to enhance workflow efficiency, including through AI-driven process improvements.

About the Job:

  • Collaborate with the existing EA to manage complex calendars, coordinate personal and professional schedules, and prioritize commitments.
  • Arrange and confirm domestic and international travel with detailed itineraries.
  • Assist in handling HR functions, including onboarding, payroll processing, and benefits coordination.
  • Draft and manage email correspondence, prioritizing incoming messages for the principal.
  • Prepare and maintain detailed spreadsheets, financial summaries, and reports using advanced Excel functions; support financial analysis as needed.
  • Manage and update documents using Google Suite and Google Sheets.
  • Participate in process improvement initiatives, exploring and implementing AI tools where beneficial.
  • Coordinate special projects, events, and ad hoc assignments.
  • Maintain off-hour availability via cell when necessary.

About You:

  • Minimum 5 years of Executive Assistant experience supporting a senior executive, preferably in the finance sector and within a small to mid-sized company.
  • Prior financial analyst experience highly preferred.
  • Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) and strong skills in Word, PowerPoint, and Outlook.
  • Proficiency with Google Suite (Docs, Sheets, Drive, Calendar) and enthusiasm for learning AI-based productivity tools.
  • Strong written and verbal communication skills; able to write and edit correspondence with accuracy and professionalism.
  • High degree of discretion, integrity, and confidentiality.
  • Experience working remotely with success a PLUS
  • Exceptional organizational and time management skills; able to manage multiple priorities in a fast-paced environment.
  • A proactive, solutions-oriented mindset and the ability to work collaboratively in a team-oriented setting.

Compensation: Competitive base salary plus discretionary bonus; health care stipend per pay period.
