A rapidly scaling CPA firm is seeking a Chief of Staff. The business is transforming the way accounting services are delivered, moving toward a high-touch, concierge-style model that prioritizes proactive strategy, client relationships, and seamless execution.
The Chief of Staff will serve as a key operational partner to the Managing Partner and leadership team. This role bridges the gap between administrative support and strategic operations—handling licensing logistics, executing project plans, and helping drive initiatives aligned with the firm’s bold vision for the future of CPA firms. This position allows for a direct influence on ensuring smooth internal operations, accountability, and implementation of mission-critical goals, while freeing up senior leadership to focus on growth and client impact. Hybrid schedule with 3-4 days/week in office required.
About the Job:
Licensing & Compliance Oversight
- Ensure all Secretary of State filings, business licenses, franchise tax registrations, and renewals are submitted on time and tracked across all entities and states
- Maintain accurate and centralized records for all regulatory filings
- Liaise with legal/ops teams and state agencies to stay ahead of compliance deadlines
Strategic Project Execution
- Help implement the firm’s Concierge CPA Program—including project tracking, communication rollouts, and client transition logistics
- Coordinate across teams to ensure timely execution of the “Future of CPA Firms” roadmap
- Build and maintain project management dashboards (e.g., Monday.com) to track firmwide strategic initiatives
Cross-Team Coordination & Follow-Up
- Serve as a central point of contact between the Managing Partner, Executive Assistant, Tax, Accounting, and Admin teams
- Follow up on outstanding reports, projects, and internal deliverables
- Run weekly action item reviews and keep stakeholders accountable to timelines
Communication & Operational Support
- Draft internal communications and memos related to licensing, project milestones, and operational updates
- Support firmwide SOP development and process improvements
- Assist with light research, documentation, and business analytics as needed
About You:
- 4–7 years of relevant experience in operations, project management, or executive-level support
- Bachelors degree preferred, but equivalent experience accepted
- Familiarity with CPA firm operations, professional services, or regulatory environments strongly preferred
- Proven ability to manage complex projects and follow through to completion
- Strong attention to detail, documentation accuracy, and organizational discipline
- Comfortable using project management systems (e.g., Monday.com), Microsoft Teams, OneDrive
- Excellent written and verbal communication skills
- Self-starter with the ability to anticipate needs and own execution
- Growth-minded with interest in eventual operations or strategic leadership roles
