A rapidly expanding, execution-driven organization in the manufacturing and operations sector is seeking a seasoned Executive Assistant to support its CEO. With 200+ employees, multiple facilities across the U.S., and a fast-moving leadership team, the company has reached a scale where a dedicated, high-caliber Executive Assistant is essential to maintaining alignment, accountability, and strategic momentum.
This is a pivotal, high-visibility role for a proactive, exceptionally organized professional who thrives in fast-paced environments and brings strong communication, governance, and coordination capabilities. The ideal candidate has supported C-suite leaders, excels at managing complexity, and possesses the confidence and judgment to partner closely with ownership and senior leadership. This position offers significant long-term growth, with the potential to evolve into a Chief of Staff role.
This role may be based remotely, with a preference for candidates in the Phoenix metro area or other major metro hubs for ease of travel.
About the Job:
Executive Support & Calendar Management
- Manage the CEO’s complex, evolving calendar and ensure priorities, meetings, and commitments are thoughtfully organized and aligned.
- Act as a gatekeeper, managing time, triaging requests, and creating structure around executive workflows.
- Prepare meeting agendas, briefing materials, schedules, and follow-up documentation for leadership meetings, cross-department discussions, and strategic sessions.
- Support meeting facilitation, including accurate notetaking and tracking action items across teams.
Communication & Correspondence
- Draft, refine, and manage executive-level written communications with clarity, precision, and discretion.
- Serve as a liaison between the CEO and employees, plant leadership, vendors, and external partners.
- Help coordinate communication across multiple sites to ensure information flows consistently and effectively.
- Handle all confidential communication with absolute professionalism and sound judgment.
Governance & Corporate Administrative Support
- Assist with corporate governance activities, including board-related materials, meeting minutes, filings, and maintaining corporate records.
- Partner with legal, finance, and operational leaders to support compliance and organizational documentation.
Travel Planning & Logistics
- Coordinate domestic travel arrangements for the CEO and occasional travel for executive leadership.
- Develop detailed itineraries and support last-minute adjustments as needed.
- Process expense reports, track receipts, and support budgeting activities.
Project Coordination & Operational Support
- Support cross-functional projects led by the CEO and track progress across departments.
- Conduct research, create presentations, and compile executive reports.
- Ensure timely execution of key initiatives, keeping leaders accountable and projects moving forward.
- Assist with offsites, facility visits, leadership summits, and operational coordination across multiple locations.
Office & Resource Management
- Maintain organized digital and physical filing systems.
- Manage vendors, subscriptions, and tools supporting executive operations.
- Handle occasional personal tasks and requests with discretion and reliability.
About You:
- Bachelor’s degree preferred, or equivalent experience.
- 5+ years supporting C-suite executives in a fast-paced, high-expectation environment.
- Exceptional written and verbal communication skills, with strong attention to detail.
- Ability to anticipate needs, solve problems proactively, and navigate complex, shifting priorities.
- Experience supporting multi-site or operationally complex organizations strongly preferred.
- Skilled at handling confidential information with discretion and professionalism.
- Tech-savvy, with proficiency in Microsoft Office Suite and communication/scheduling platforms.
- Calm under pressure, highly self-directed, and comfortable supporting a leader who operates at a fast pace.
- Flexible mindset — comfortable with occasional after-hours communication and periodic domestic travel (approximately once per month or every 6 weeks).
