We are a reputable, mid-sized CPA firm with a strong presence in North Central Massachusetts and clients across multiple states. As a paperless, full-service accounting firm, we provide tax, audit, accounting, and business advisory services. Due to our continued growth, we are seeking a highly organized Administrative Assistant to join our team and play a key role in supporting the smooth operation of our office.

Responsibilities

Front Office & Client Support

  • Greet clients and manage incoming calls, emails, and correspondence with professionalism.

  • Schedule and confirm client meetings; maintain calendars and appointment coordination.

  • Prepare, organize, and maintain client files (electronic and paper-based), ensuring confidentiality.

  • Manage office supplies, equipment, and software subscriptions.

Document & Workflow Management

  • Assemble and file tax returns, financial statements, and other deliverables.

  • Manage mail, scanning, and digital filing systems.

  • Support staff with engagement letters, billing packets, and client communications.

Financial & Billing Support

  • Assist with accounts receivable: prepare/send invoices, follow up on outstanding balances, and process payments.

  • Handle accounts payable: process vendor invoices, schedule bill payments, and maintain expense records.

  • Reconcile receipts, track expenses, and support month-end bookkeeping tasks.

General Administrative Support

  • Provide day-to-day administrative assistance to partners and staff.

  • Help prepare reports, presentations, and proposals.

  • Uphold professional standards of accuracy, confidentiality, and client service.

Qualifications

  • Prior administrative experience in an office environment (professional services or accounting preferred).

  • Strong organizational skills with the ability to manage multiple tasks and deadlines.

  • Proficiency with Microsoft Office Suite and comfort learning new software.

  • Excellent communication skills and a professional, client-service mindset.

  • Attention to detail and commitment to maintaining confidentiality.
