Manage the daily operations of the support team, including workload coordination
Provide supervision, guidance, and coaching to administrative staff
Organize and facilitate regular team meetings
Evaluate, mentor, and train support staff, ensuring expectations and goals are met
Conduct or coordinate training sessions on office procedures and software applications
Plan and manage office events such as meetings, interviews, orientations, and training sessions
Collect, organize, and maintain information using computer systems and filing processes
Oversee office supply management and equipment maintenance
Administer budgets for supplies, equipment, and contracts
Maintain and update internal reference systems, ensuring staff are trained on their use
Manage special projects as assigned by leadership
Analyze internal processes and recommend/implement operational improvements
Oversee facility maintenance to ensure safety, security, and proper upkeep
Bachelor’s degree in business administration, project/office management certification, or equivalent leadership experience
Minimum 5 years of administrative or office management experience (design, construction, or related industry preferred)
Experience supporting engineers, architects, or contractors in the built environment is highly desirable
Strong proficiency in Microsoft Office Suite and project information management platforms
Excellent communication skills across all organizational levels
Proven leadership skills with strong time, task, and resource management abilities
Skilled at managing multiple projects and meeting deadlines
Dependable, trustworthy, and highly organized
Monday – Thursday, 7:30 AM – 5:30 PM
Friday, 7:30 AM – 11:30 AM
