Position Summary

We are seeking an experienced and detail-oriented Payroll Specialist to manage end-to-end payroll operations for a workforce of over 500 employees across multiple entities and states. This role ensures accurate and timely processing of both hourly and salaried payroll, supports compliance with applicable regulations, and maintains consistent communication with HR and accounting. The ideal candidate brings strong attention to detail, sound judgment, and the ability to manage priorities in a fast-paced environment.

Key Responsibilities

  • Administer full-cycle payroll for over 500 employees across multiple entities and states.

  • Process hourly and salaried payroll accurately and in compliance with federal, state, and local laws.

  • Review and verify timecards, punches, and PTO requests for accuracy and completeness.

  • Manage and track various leave types, including bereavement and unpaid time off.

  • Reconcile payroll data, investigate and resolve discrepancies promptly.

  • Coordinate with HR to ensure employee records and pay data remain current.

  • Handle adjustments, garnishments, bonuses, and other special payroll transactions.

  • Maintain confidentiality of all payroll and employee information.

  • Support audits, reporting, and year-end payroll activities.

  • Identify opportunities for process improvement and increased efficiency.

Qualifications

  • 3+ years of payroll experience, preferably in a multi-entity or multi-state environment.

  • Solid understanding of wage and hour laws, payroll taxes, and PTO administration.

  • Experience using payroll systems such as Paylocity, ADP, Paychex, or equivalent.

  • Strong analytical, organizational, and problem-solving skills.

  • Excellent communication and interpersonal abilities.

  • Proven ability to manage multiple deadlines with accuracy and accountability.
