Our client in the Paint and Industrial services industry that is located in Woodbridge, Ontario is currently hiring for a Junior Purchasing coordinator to join the team. This position reports directly to the Purchasing and Procurement Manager.

 

The hiring company provides advanced coating and finishing services for extrusion companies, window fabricators, building products, and others in the fenestration industry. Operating out of a 50,000-square-foot foot facility in the Greater Toronto Area, they handle virtually any type of job, specialize in high-volume production orders, and offer a wide selection of color choices and highly durable finishing options.

 

Job Description

The Junior Purchasing Coordinator holds a pivotal role in the organization, co-steering the procurement procedures. Their responsibilities encompass strategizing and implementing the acquisition of essential items in alignment with the organization’s goals. They ensure that the procurement operations are conducted efficiently and economically. The significance of this role is underscored by the fact that the organization’s capacity to acquire necessary items, both timely and cost-effectively, has a direct bearing on the overall business functionality.

 

Job Duties:

·       Verify purchase requisitions by comparing items requested to the master stock code list and issuing purchase orders.

·       Generate and manage purchase orders, ensuring accuracy and compliance with company policies.

·       Monitor and track the status of orders to ensure timely delivery and resolve any issues that may arise.

·       Resolve shipping discrepancies concerning overages and shortfalls of original purchase orders.

·       Initiate the Return to Supplier Process and follow up with suppliers when defects and damage occur.

·       Maintain and update Supplier Contract Pricing and Current Costs in the System.

Significant Inventory Management Responsibilities as a Junior Purchasing Coordinator:

 

·       Regularly communicate with production lead hands to understand current and upcoming material requirements for orders and investigate any material variance.

·       Coordinate warehouse and materials-related activities among production, material department, shipping department, and customer service.

·       Maintain inventory of materials and parts needed to complete production.

·       Monitor inventory levels and maintain optimal stock levels to meet customer demand while minimizing carrying costs.

·       Conduct regular cycle counts and physical inventories to reconcile system records with actual stock.

·       Maintain and monitor raw materials and finished goods in the Kanban System. Analyze the requirements of the materials and place orders to replenish when needed.

·       Update the inventory management system to reflect the physical count and adjust stock levels accordingly.

·       Issue materials to completed jobs according to the Daily Production Summary. Investigate materials variance.

·       Review and analyze stock code BOM with historical data as required.

 

Other Duties:

  • Assist with reporting Material Handler's performance weekly and fill out the Performance evaluation matrix.
  • Run materials variance, bin audit, and future free reports weekly to evaluate materials status.
  • Organize and maintain all relevant documents, including the PO requisition, purchase order, packing slip, receiving report, and invoice, for audit purposes.

Required Education or Degree

 

·       College or university degree

 

Skills/Knowledge

 

·       Familiar with ERP systems, Syspro knowledge is preferred.

·       Experience in Windows and Door and vinyl extrusion industry preferred.

·       Must be able to work with a team.

·       Excellent communication and problem-solving skills

·       Detail oriented.

·       Experienced in using Office software.

·       Knowledge of barcode scanning and custom clearance software.
