POSITION OVERVIEW:

 

Our client, a leading law firm with a commitment to excellence and innovation, is seeking a highly organized and motivated Office Services Specialist to support daily operations and provide assistance to attorneys and staff. Under the direct supervision of the Office Services Supervisor, the Office Services Specialist will be responsible for coordinating various office tasks, handling mail, managing office supplies, and assisting with reception and guest services duties.

 

Key Responsibilities:

 

Mail and Delivery Services:

 

  • ·       Sort and distribute incoming and outgoing mail.
  • ·       Process all collected mail throughout the day and deliver to the main post office.
  • ·       Deliver internal hand deliveries and handle outgoing hand deliveries, including possible driving.
  • ·       Collect and process courier packages (FedEx, UPS), enter details into the system, and prepare for pick-up.

 

Office Services Support:

 

  • ·       Move boxes, files, office equipment, and furniture as needed.
  • ·       Perform copying and binding services, ensuring availability of necessary copies.
  • ·       Assist in monitoring and ordering office supplies.
  • ·       Participate in special projects, such as mass mailings, attorney functions (receptions, parties), etc.

 

Reception Responsibilities:

 

  • ·       Provide coverage for reception, greeting visitors professionally, and directing them appropriately.
  • ·       Assist with clerical and administrative support tasks as needed.

 

 

Guest Services Support:

 

  • ·       Assist in organizing and setting up meetings or events, including set-up and breakdown.
  • ·       Monitor catering supplies and replenish kitchen stock as necessary.

 

Special Projects:

 

  • ·       Support with various special projects or tasks assigned by the Office Services Supervisor.

 

Qualifications:

 

Experience:

 

  • ·       1-3 years of related office services experience.
  • ·       Equipment maintenance and repair experience is helpful.

 

Skills:

 

  • ·       Strong communication skills to effectively interact with attorneys, staff, and vendors.
  • ·       Excellent organizational skills and the ability to prioritize workloads.
  • ·       Ability to remain calm and act decisively under pressure.
  • ·       Capability to lift heavy objects (minimum of 30 pounds) and move office equipment and furniture.

 

Technical Abilities:

 

  • ·       Proficient in operating office equipment such as a scale, postage meter, copier, etc.

 

Education:

 

  • ·       Bachelor’s Degree preferred or equivalent work experience.

 

Physical Requirements:

 

·       Ability to sit or stand for extended periods.

·       Moderate or advanced keyboard usage.

·       Standard hours of work: Monday through Friday. Some late nights and weekends may be required.

·       Must be able to lift and move up to 25 pounds at times.

·       Travel may be required up to 10% of the time.
