POSITION OVERVIEW:

 

Our client, a leading law firm with a commitment to excellence and innovation, is seeking a highly skilled Legal Administrative Assistant for its Tampa office. The ideal candidate will have at least 4 years of experience working in a legal administrative role, with a focus on litigation in both state and federal courts. Experience in trial preparation is preferred.

 

This position requires a proactive, flexible individual with strong organizational and communication skills. Candidates must be proficient in Microsoft Office applications and familiar with document management systems such as iManage.

 

Key Responsibilities:

 

  • ·       Document Management: Assist attorneys in preparing, proofreading, and revising legal documents; manage and organize electronic documents.
  • ·       Scheduling & Calendaring: Schedule court appearances, depositions, and related meetings; manage attorney calendars.
  • ·       eFiling: Handle electronic filing of documents with Federal and Florida State courts.
  • ·       Client Billing & Time Entry: Enter time and assist with client billing processes.
  • ·       File & Record Maintenance: Maintain and organize client files and records.
  • ·       New Business Intake: Assist with new business intake, including submission of conflicts checks.
  • ·       Travel & Meeting Coordination: Schedule travel, appointments, and meetings for attorneys.
  • ·       Backup Support: Provide backup support for other Legal Administrative Assistants when necessary.

 

Qualifications:

 

  • ·       Minimum of 4 years of experience as a legal administrative assistant with a focus on litigation in both state and federal courts.
  • ·       Trial preparation experience is preferred.
  • ·       Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint; experience with iManage or Filesite is a plus.
  • ·       Ability to multi-task, prioritize, and meet deadlines based on business needs.
  • ·       Excellent organizational and communication skills with attention to detail.
  • ·       Must be proactive and flexible, with the ability to work well in a team environment.

 

Standard hours of work: Monday through Friday, 7:00AM–5:30PM. Some late nights and weekends may be required.

Must be able to lift and move up to 25 pounds at times.

Travel may be required up to 10% of the time.
