POSITION OVERVIEW:

 

Our client, a leading law firm with a commitment to excellence and innovation, is seeking a Legal Department Administrative Specialist to provide high-level administrative, technical, and professional support to the Legal Department Administrative Manager. The ideal candidate will assist in the administration and compliance of various programs, ensuring smooth operations within the department and handling confidential matters with discretion.

 

Key Responsibilities:

 

  • ·       Assist in the administration and compliance of legal department programs, policies, and procedures as directed by the Legal Department Administrative Manager.
  • ·       Answer routine questions via email or phone, and direct inquiries to the appropriate individuals when necessary.
  • ·       Organize and maintain department files and correspondence, ensuring they are updated and easily accessible.
  • ·       Handle sensitive and confidential information with the highest level of security and discretion.
  • ·       Generate and maintain spreadsheets, reports, and other documentation as needed.
  • ·       Schedule calls, meetings, and maintain department calendars for team members.
  • ·       Provide administrative assistance to other Legal Department members as requested.
  • ·       Complete additional administrative support duties and special projects as assigned.

 

Qualifications:

 

Experience:

  • ·       3+ years of professional administrative experience in a law firm setting is preferred.

 

Technical Skills:

  • ·       Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience using document management systems, such as iManage, is required. Experience with digital workflow platforms like ServiceNow is a plus.

 

 

Skills:

 

  • ·       Strong organizational skills and the ability to prioritize multiple tasks efficiently.
  • ·       Ability to work independently with minimal supervision and take initiative.
  • ·       Excellent communication (both written and verbal) and attention to detail.
  • ·       Ability to interact professionally with all levels of firm personnel.
  • ·       Adaptability and comfort with a fast-paced environment where priorities can shift.

 

Education:

 

Preferred:

  • ·       Bachelor’s Degree in a related field is preferred, but equivalent professional experience will be considered.

 

Physical Requirements:            

 

·       Ability to sit or stand for extended periods.

·       Moderate or advanced keyboard usage.

·       Standard hours of work: Monday through Friday. Some late nights and weekends may be required.

·       Must be able to lift and move up to 25 pounds at times.

·       Travel may be required up to 10% of the time.
