POSITION OVERVIEW:

 

Our client, a leading law firm with a commitment to excellence and innovation, is seeking a experienced Legal Administrative Assistant for its Tampa office. The ideal candidate will have at least 4 years of experience in a legal administrative role with a focus on litigation. This position requires someone who is proactive, detail-oriented, flexible, and a strong team player with excellent organizational and communication skills.

 

Key Responsibilities:

 

  • ·       Document Preparation: Assist attorneys in preparing, proofreading, and revising legal documents.
  • ·       Scheduling & Calendaring: Schedule court appearances and depositions; manage calendaring and docketing for litigation matters.
  • ·       eFiling: Handle electronic filing of documents in Federal and Florida State courts.
  • ·       Billing & Time Entry: Enter time and assist with client billing tasks.
  • ·       File Maintenance: Organize and maintain client files and records.
  • ·       Vendor Invoice Processing: Prepare and submit Cash Disbursement Requests (CDRs) for processing vendor invoices; monitor payment status.
  • ·       New Business Intake: Assist with submission of new business intake and conduct conflicts checks.
  • ·       Travel & Meeting Coordination: Schedule travel, appointments, and meetings for attorneys.
  • ·       Expense Processing: Process expense reports in a timely manner.
  • ·       Attorney Calendar Management: Maintain attorneys’ calendars and contact lists.
  • ·       Backup Support: Provide backup coverage for other Legal Administrative Assistants as needed.

 

Qualifications:

 

  • ·       Minimum of 4 years of experience as a Legal Administrative Assistant with a focus on litigation.
  • ·       Proficient in Microsoft Word, Excel, and Outlook; experience with iManage is a plus.
  • ·       Experience with eFiling in Federal and Florida State Courts.
  • ·       Strong organizational, multi-tasking, and prioritization skills.
  • ·       Excellent communication and interpersonal skills.
  • ·       Ability to work well under pressure and meet deadlines.
  • ·       A proactive, flexible, and team-oriented approach to work.

 

Standard hours of work: Monday through Friday, 7:00AM–5:30PM. Some late nights and weekends may be required.

Must be able to lift and move up to 25 pounds at times.

Travel may be required up to 10% of the time.
