POSITION OVERVIEW:

 

Our client, a leading law firm with a commitment to excellence and innovation, is seeking an experienced and proactive Legal Administrative Assistant with a strong focus on litigation, particularly construction litigation. The ideal candidate will possess excellent organizational, communication, and multitasking skills, with a keen attention to detail. In this role, you will support attorneys in their litigation practice, ensuring the seamless execution of legal tasks, document management, and client billing. You will also play a key role in maintaining calendars, scheduling court appearances, and assisting with client matters.

 

Key Responsibilities:

 

  • ·       Assist attorneys with the preparation, proofreading, and revision of legal documents.
  • ·       Schedule court appearances, depositions, and manage calendaring and docketing processes.
  • ·       E-file legal documents in Federal and Florida State Courts.
  • ·       Perform time entry and client billing.
  • ·       Maintain organized legal files, records, and correspondence.
  • ·       Prepare and submit Cash Disbursement Requests (CDRs) for vendor invoices and monitor timely payment.
  • ·       Assist with new business intake and conflicts checks.
  • ·       Schedule travel, appointments, and meetings for attorneys.
  • ·       Process attorneys' expense statements in a timely manner.
  • ·       Maintain attorneys’ calendars, contact lists, and other administrative duties.
  • ·       Provide backup coverage for other Legal Administrative Assistants when necessary.

 

Required Skills and Qualifications:

 

  • ·       Minimum of 4 years of experience as a Legal Administrative Assistant with a strong focus on litigation.
  • ·       Experience in construction litigation is highly preferred.
  • ·       Proactive, detail-oriented, and a team player with strong organizational and multitasking abilities.
  • ·       Excellent communication skills, both written and verbal.
  • ·       Proficiency in Microsoft Word, Excel, and Outlook; experience with iManage is a plus.
  • ·       Strong ability to prioritize and handle multiple tasks based on the practice group’s business needs.

 

Preferred Qualifications:

 

  • ·       Experience with e-filing in both Federal and Florida State Courts.
  • ·       Experience in time entry, client billing, and handling confidential matters.
  • ·       Familiarity with the legal process and understanding of court requirements.

 

Physical Requirements:        

 

·       Ability to sit or stand for extended periods.

·       Moderate or advanced keyboard usage.

·       Standard hours of work: Monday through Friday. Some late nights and weekends may be required.

·       Must be able to lift and move up to 25 pounds at times.

·       Travel may be required up to 10% of the time.
